What is the Aging Module?

For each day that a balance remains outstanding, it becomes statistically more difficult to collect the money owed. While aging might make for better cheese or wine, you don't want your patients to owe you money for long periods of time. The Aging Module will help you identify the patients who owe you money and how far aged their balances have become.

The Aging Module allows you to view your outstanding accounts receivable by Responsible Party, Patient, Office, and Insurance. The Aging Module organizes account balances by aging bracket (current/30 days/60 days/90 days) and can be easily sorted to identify the largest and oldest AR balances in each location.

This module also features snapshot functionality, which preserves the values of the aging report for that day. Snapshots allow you to select a previous day from the date picker and view a historical aging report.

In some situations, you might find it helpful to remove accounts with credit balances from the view, so that you can only focus on accounts that owe your practice money. The credits filter, found at the upper right corner of the table, can be used to include or exclude credit balances from the totals.

This menu also offers the choice of only viewing accounts with a credit balance, allowing flexibility to measure aged balances in different ways.

Export CSV

The Export CSV button, located in the upper-right corner of the table, allows you to save the aging information to a file that can be opened as a spreadsheet.

Example

At the end of each month, Juan turns to the Aging Module within Jarvis Analytics to quickly determine which accounts owe his practice money. The Aging Module gathers the information about overdue balances. Clicking the column headers allows Juan to sort the information by the highest or lowest outstanding balances, or by which accounts have outstanding balances for the longest amount of time. By clicking the break-out icon next to the guarantor’s name, Juan can access the contact information to see how much is estimated to be paid by the patient or the insurance carrier, as well as view the information needed to contact the account holder about collections.

How to find overdue patient accounts.

Step 1: Open Jarvis and click on Aging.

Step 2: Click the By Patient tab.

Step 3: Filter the results by clicking on the 30/60/90 column header.

Step 4: Click the breakout button next to the patient's name to see more details about the balance.

Step 5: Click the break out button next to the patients with the balance and then click the AR summary tab. This will allow you to see all of the services and payments that have been posted to the patient's account.
