Overview

Accurate data insights are essential for managing a successful dental practice. With the new "Create Your Own KPI" feature in Jarvis Analytics, you can now define and track the key performance indicators that matter most to your business.

This feature provides essential, easy-to-use functionalities that allow you to monitor financial performance, patient service trends, and operational metrics—all within the existing interface.

In this guide, you'll learn how to set up and customize your own KPIs to gain actionable insights and make informed, data-driven decisions. Let’s get started!

How To Create a Custom KPI

  1. Navigate to the Configuration Module, select KPIs, and view the Custom KPIs tab

  3. Enter your custom KPI name:
    • Provide a descriptive name for your KPI to easily identify it later.
  4. Select the Transaction Type. Choose from one of the following options based on what you wish to track:
    • Procedure Code
    • Adjustment Type
    • Payment Type
  5. Select the KPI Type. This determines where your KPI will be displayed within the KPIs Module. Options include:
    • Hygiene
    • Doctor
    • Office
    • Specialties
  6. Select the 'Display As' Format. Choose how the data should be displayed as either a Count (#), or Dollar ($) amount
  7. Select a Line of Business (Optional). This will apply a provider line of business filter for more specific insights. Options include:
    • Doctor, Hygiene, Oral Surgery, Invisalign, Ortho, Prosthetics, Others, Perio, Endo, Pedo
  8. Enter a Description for the Custom KPI. A brief description can provide additional context or details about what the KPI is tracking. This will clarify the purpose of the KPI for yourself and other users.
    • Enter Associated Codes. Input the relevant Procedure Codes, Adjustment Types, or Payment Types. You should use the actual codes from your Practice Management System(s) (e.g., D0120). You can add multiple codes to a single KPI.
    • Save Your Custom KPI. After entering all the details, click on 'Save' to store your custom KPI.
  9.  Custom KPIs that you create will be marked or highlighted with a file icon in the KPIs Module for easy recognition.

Managing Your Custom KPIs

Use the dropdown at the side to manage your KPIs. We recommend you review them regularly to track performance, and deleting those that are no longer relevant.

Enabling / Disabling a Custom KPI

To Enable / Disable a KPI, use the toggle switch to turn on/off each KPI. KPIs enabled here will be visible in the KPIs Module.

Examples

  1. I want to create a KPI that tracks how many iTero scans were completed by hygienists
    • Enter a KPI Name: Hygiene iTero Scans
    • Select the Transaction Type: Procedure Code
    • Select the KPI Type: Hygiene
    • Select the 'Display As' Format: Count (#)
    • Select a Line of Business (Optional): Hygiene
    • Enter a Description for the Custom KPI: Displays the number of iTero scans completed by a hygienist.
    • Enter Associated Codes: D0801
  2. I want to create a KPI that tracks the amount of Patient Courtesy Adjustments
    • Enter a KPI Name: Professional Courtesy Adjustments
    • Select the Transaction Type: Adjustment Type
    • Select the KPI Type: Office
    • Select the 'Display As' Format: Dollar ($)
    • Select a Line of Business (Optional): None
    • Enter a Description for the Custom KPI: Displays the amount of professional courtesy adjustments posted.
    • Enter Associated Codes: ADJ0013
  3. I want to create a KPI that tracks the amount of Insurance Payments
    • Enter a KPI Name: Insurance Payments
    • Select the Transaction Type: Payment Type
    • Select the KPI Type: Office
    • Select the 'Display As' Format: Dollar ($)
    • Select a Line of Business (Optional): None
    • Enter a Description for the Custom KPI: Displays the amount of Insurance Payments posted.
    • Enter Associated Codes: PMT-INS-CC

By following these steps, you can create and manage custom KPIs that provide meaningful insights tailored to your dental practice's unique needs.

Limitations
